1. Scope and purpose
The application is an internal productivity tool operated by UseSpeaky LLC. It is intended only for authorized members of our development and operations team and is not offered as a public consumer service.
The application connects to Gmail accounts only after an authorized user grants permission through Google OAuth. It is used to manage multiple team-controlled Gmail accounts, coordinate email operations, and support internal development workflows.
2. Information we access
Depending on the Google permissions granted to the application, we may access:
- Basic Google account information, such as name, email address, and account identifier.
- Gmail message and thread data, including headers, message content, attachments, drafts, sent messages, and related metadata.
- Mailbox organization data, such as labels and message status.
- OAuth credentials, account connection settings, and limited technical logs needed to operate and secure the application.
The application does not access Google user data unless an authorized user explicitly grants the relevant permissions.
3. How we use information
Google user data is used only to provide the application's internal Gmail management features. These may include viewing and searching messages, organizing mail, applying labels, archiving messages, preparing drafts, sending messages at an authorized user's direction, and maintaining account connections.
We may also use limited technical information to authenticate users, prevent abuse, troubleshoot errors, maintain security, and improve the reliability of the internal tool.
We do not use Gmail data for advertising, profiling, credit decisions, or any purpose unrelated to the application's internal email-management functions. We do not sell Google user data.
4. Google API Services User Data Policy
UseSpeaky LLC's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
5. Data sharing and disclosure
We do not sell, rent, or share Google user data with advertisers or data brokers. Access is limited to authorized UseSpeaky team members who need it to operate or maintain the application.
Information may be processed by infrastructure and security service providers acting on our behalf and subject to appropriate confidentiality and data-protection obligations. We may also disclose information when required by law, to protect rights or safety, or to investigate misuse of the application.
6. Storage, retention, and deletion
We retain account identifiers, OAuth credentials, settings, operational records, and any Gmail data processed by the application only for as long as reasonably necessary to provide the internal service, maintain security, meet legal obligations, or resolve incidents. Gmail content is not retained longer than required for the relevant internal workflow.
When an account is disconnected or access is no longer required, associated credentials are removed or invalidated and retained data is deleted or de-identified within a reasonable operational period, subject to legal obligations and normal backup rotation.

7. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect data against unauthorized access, loss, misuse, alteration, or disclosure. These include access controls, least-privilege permissions, secure transport, restricted team access, and monitoring appropriate to an internal application.
No method of electronic storage or transmission is completely secure, so absolute security cannot be guaranteed.
8. Your choices and controls
Google account access can be reviewed or revoked at any time through the Google Account connections page. Revoking access prevents the application from making future Google API requests for that account, but does not automatically remove information already retained for legitimate operational or legal purposes.

9. Changes to this policy
We may update this Privacy Policy when the application, our data practices, or applicable requirements change. The effective date at the top of this page will identify the latest version.
